Importing a mini excavator from China involves three connected budgets: the machine and options, transport to the agreed delivery point, and the remaining costs of getting it to your site. An advertised machine price may cover only part of that journey. The process below follows the order from model selection to arrival, showing when the configuration, inspection, packing and delivery arrangements need to be settled.

The import process at a glance
| Stage | What the stage establishes |
|---|---|
| Before choosing an offer | The required work, access, machine configuration and destination. |
| Before committing the order | The agreed specification, included costs, delivery term, documents and acceptance conditions. |
| Before shipment | The actual machine and attachments, inspection record, packing dimensions and weights, and shipping documents. |
| At arrival | The delivered items and condition, unloading arrangements and commissioning requirements. |
1. Define the machine before comparing suppliers
Send each supplier the same requirement sheet. Include intended jobs, maximum access width and height, required digging depth, transport constraints, attachments, destination country and expected quantity. Ask for the exact model data sheet rather than accepting “1 ton” or “2 ton” as a complete specification.
The quotation should identify operating weight, overall dimensions, rated power, engine brand and model, bucket capacity, working range, track configuration, auxiliary hydraulic requirements and every included attachment. If a field is important to acceptance, put it in the contract.
2. Verify the supplier and production responsibility
- Confirm the legal company name, business registration and factory address.
- Identify which company manufactures, exports, invoices and receives payment.
- Request current workshop evidence and a live review of the quoted model.
- Ask who controls welding, painting, assembly, testing and non-conformance records.
- Verify certificates with the issuing or approval body where possible; a logo or scanned image alone is not proof.
3. Check destination requirements before ordering
Import, engine-emissions, machinery-safety, road-use, registration and workplace rules vary by destination and configuration. Give the exact engine and machine documents to the responsible authority, customs broker or qualified compliance adviser before shipment. ISO 9001 describes a quality-management system; it does not by itself prove that a specific excavator is legal for import or use.
For the United States, the EPA publishes Form 3520-21 and supporting guidance for importing nonroad engines and equipment. For the European Union, engine Stage V requirements arise from Regulation (EU) 2016/1628, while machinery conformity must be checked separately. Do not treat an engine certificate as whole-machine approval.

Inspection criteria should be agreed before production, not after arrival.
4. Compare complete landed-cost inputs
Request separate values for the machine, options, spare parts, export packing, origin transport and any seller-arranged freight or insurance. Obtain current destination quotations for ocean or multimodal freight, terminal handling, brokerage, inspection, storage, duties, taxes, inland delivery and unloading. These charges change by route, date and customs treatment, so the total depends on the exact delivery point and order.
Planned cost to the agreed site = agreed offer price + costs not already included in that offer. Use the same configuration, delivery endpoint, currency and exchange-rate date, and tax basis throughout. Enter each item once; an unknown amount is not zero.
| Budget | Your amount and included scope |
|---|---|
| Machine and options | ____ — machine, attachments, parts and packing included in the agreed offer |
| Transport to the agreed point | ____ — only origin handling, freight and insurance not already included above |
| Arrival and site preparation | ____ — applicable destination handling, brokerage, duties, taxes, storage, inland delivery and unloading not already included |
If the offer already includes a bucket, export packing or freight, do not add the same charge again. Use the destination-specific duty and tax amounts in the arrival budget.
5. Name the Incoterms rule and place precisely
Write the selected Incoterms® 2020 rule and named place or port in both quotation and contract. Incoterms rules allocate specified delivery tasks, costs and risk; they do not replace product specifications, payment terms, title transfer, compliance obligations or dispute provisions. Ask a forwarder or trade adviser which rule fits the actual container and transport chain.
6. Put acceptance and payment milestones in writing
- Approved technical specification and revision.
- Production and document milestones.
- Pre-shipment inspection scope, test conditions and acceptance evidence.
- Correction procedure for non-conforming machines.
- Payment trigger tied to agreed evidence.
- Packing, loading and document responsibilities.
- Warranty scope, exclusions, parts and response process.
7. Inspect the exact machine before shipment
Match serial numbers, engine identity, dimensions, operating weight evidence, attachments and documents to the contract. Test starting, controls, travel, swing, boom, arm, bucket, blade and auxiliary functions under an agreed procedure. Record leaks, abnormal indications and safety-device checks. Photographs and video are evidence only when they identify the machine and test conditions.
8. Confirm packing and shipping documents
Before booking, reconcile the commercial invoice, packing list, machine identification, packing dimensions, gross weight, attachment list and available compliance documents. Confirm the bill-of-lading instructions, insurance evidence, loading method, securing plan, destination handling and unloading equipment with the parties responsible for each task.
9. Inspect at receipt before operation
Record the seal and external condition before unloading. Compare delivered items and serial numbers with the packing list, photograph damage before moving the machine, and follow the carrier and insurer’s claim procedure. Complete the manufacturer’s commissioning and operator requirements before work begins.
Use the current Nicosail mini excavator range to identify a candidate model, then request a configuration-specific quotation and import document set. Destination approval and final landed cost remain order-specific.
